Minutes that chase their own actions.
Agenda, attendance, decisions and actions in one place, each action carrying an owner and a due date out of the room with it. Twenty-seven actions run open on a typical tower and 2 sit overdue — and the record does the chasing, not the coordinator.
What it does
The agenda is built from the record before anyone sits down: RFIs past their clock, revisions issued this week, constraints that did not clear, observations still open. Nobody spends the first twenty minutes assembling a status that the record already holds.
In the room, a decision becomes an action with a name and a date. The action links to whatever caused it — the RFI, the revision, the observation, the change order — so the follow-up carries its own evidence. Minutes issue to the distribution list the same day, and the next agenda opens with whatever is still standing.
How it works
- 01
Open the agenda from the record
The agenda is drafted from what is open: RFIs past their due date, submittals awaiting return, constraints for next week, and the actions still standing from last time. It goes out with the invite, not in the room.
- 02
Capture decisions as actions
The decision is typed once. Owner, due date and the RFI, revision, observation or change order it turns on are attached as it is written, and attendance is recorded against the same minute.
- 03
Let the date do the chasing
Actions land on their owner's list in the field app and the weekly digest. A reminder goes at 48H out, escalation goes to the chair on the due date, and the next agenda opens with every action still open.
